TopShot ("the app", "the service") at topshot.team is a scoring and match-day management system for shooting clubs. This policy covers the website and the TopShot mobile apps.
TopShot is operated by ATS All Technology Solutions (Pty) Ltd, a company registered in South Africa, which is the party responsible for the personal information described here. In this policy, "we" and "us" mean that company. Because we are based in South Africa, your information is processed there and South African law applies.
The shot-timer feature uses your device's microphone only while a timer is running, to detect gunshots and record split times. The microphone audio is analysed live, in memory, on the device — as amplitude peaks, to detect a shot — and is never written to a file, never saved, and never sent to our servers or anywhere else. No audio is recorded, stored, or transmitted, on the web app or the Android app.
If you enable notifications, TopShot sends a push notification for club announcements and for direct messages sent to you. Everyday club chat does not trigger a notification, so your phone isn't buzzing all shoot day. Notifications are delivered via Google's Firebase Cloud Messaging; delivering one means Google's messaging service handles the notification title and message text in transit to your device. Turning off notifications (or deleting your account) stops this and removes your device token.
Solely to run the service: showing club rosters to your club's administrators, managing shoot attendance, computing scores and leaderboards, delivering club chat and announcements, sending push notifications you've enabled, and sending you emails about your membership and shoots. We do not sell your data, and we do not run advertising. The only sharing is with Google's Firebase Cloud Messaging, solely to deliver push notifications, as described above.
Your club's administrators see your membership details and scores. Other members of your club can see your name and results on shoot leaderboards. Nobody outside your club has access, except that anyone holding a shoot's results link can view that shoot's leaderboard (names and scores only).
Club chat works the same way: announcements and the club chat thread are visible to everyone in that club; a direct message is visible only to the two people in that conversation. As with all data on TopShot, club staff and TopShot's operators can technically access chat messages stored in the database (for example to investigate a problem or a report of abuse) — chat is not end-to-end encrypted.
Data is stored on our own servers. Passwords are stored as salted hashes. All traffic is encrypted with HTTPS. Offline score entries are cached on your device until they sync and remain in your app's private storage.
You can update your details and profile picture in Settings at any time. You can delete your account yourself at topshot.team/delete-account — this permanently removes your login, name, email, picture and club roles; entries on past shoot leaderboards are anonymised. Alternatively email info@topshot.team and we will remove it within 30 days.
